As a youth-serving organization, William S. Hart Baseball & Softball is committed to providing a safe environment for every player in our program. To support that commitment, all adult team personnel and volunteers who have contact with players are required to complete a background check through the California Department of Justice Live Scan fingerprinting system.

Who Is Required to Complete Live Scan?

All individuals 18 years of age or older who coach, assist, volunteer, or otherwise interact with players must complete Live Scan clearance. This includes:

• Managers
• Coaches and Assistant Coaches
• Team Representatives
• Team Parents/Team Moms
• Board Members
• Umpires
• Other adult team volunteers

Individuals who have not completed the required background check may not coach, volunteer, or interact with players in an official team capacity.

If no properly cleared team personnel are present for a scheduled game, the team will be required to forfeit the game.

Hart ID Badge Requirement

Once a volunteer has been cleared through Live Scan, Hart Baseball & Softball will issue a Hart ID badge.

Your Hart-issued badge must be clearly visible at all times while on the field during games and practices. Badges may be worn on your shirt or on a lanyard around your neck.

Directors on Duty and umpires may check badges at the beginning of games. Anyone participating as team personnel without a visible Hart ID badge may be asked to leave the field.

Already Completed Live Scan?

If you have previously completed and cleared Live Scan through Hart Baseball & Softball, you do not need to complete it again each season.

You should already have been issued a Hart ID badge. A replacement badge may be requested if your original badge has been lost or damaged.

How to Get Your Hart ID Badge

1. Complete Live Scan

Download and print the Hart Baseball & Softball Live Scan form here.

Take the completed form to an authorized California Live Scan location. A list of locations is available at:

Live Scan providers charge a processing fee, which varies by location.

2. Submit Your Photo

Email a photo for your Hart ID badge to:

3. Receive Your Badge

Once your Live Scan clearance has been confirmed, you will receive an email letting you know your ID badge is available in the office.

Temporary badges may be available for volunteers who have completed the required steps and are awaiting their permanent badge, or forget to bring their badge.
